Supply administrative support to the east coast Human Resources Information Systems Data Center (HRISDC) team primarily: maintain multiple employment files, open incoming mail, review new hire packets for completeness, ensure employee change forms are properly approved, contact clients regarding missing or incomplete documentation, and distribute transactions to HRISDC Coordinators.



  • Sort incoming mail (hard copy and email), redirect any non-HRIS mail to appropriate department

  • Check forms and new hire packets for completeness

  • Distribute original paperwork to HRISDC Coordinators for input

  • Redirect employment verifications to external vendor

  • Prepare weekly Payroll paperwork packet


  • Prepare documents to be filed, print labels, and make new hire folders

  • File employment forms, documents, and Annual Performance Appraisals

  • Check I-9 Express system to determine if a completed I-9 is on file

  • Maintain CC-305 Disability Self Identify & VEVRAA files

  • Distribute personnel folders to be stored at other locations when employees transferred out

  • Request personnel folders for employees who have transferred in

  • Perform annual file room audit

  • Termination file management:

o Weekly - using termination reports switch folders, apply labels, and move active files to terminated

o Shred I-9 forms stored locally that have reached the retention date

  • Pull CC-305 Disability Self Identify Forms and VEVRAA forms 3 years after hire date and shred

  • Annual Archiving process:

o Move terminated employee personnel files to archive boxes

o Compare prior year terminated employee report to files and research any missing files

o Prepare index lists for each box

o Complete archive forms

Pending Transactions File

  • Review pending transactions and remove any that have been closed

  • Email weekly reminders to HR Generalist regarding outstanding documentation

Provide Support on Simple Audits, Oracle Data Updates and Other Projects as assigned


Primary Skills: strong filing and administrative skills

Environment: must be able to work in a large, closed file room with high shelves

Typing: efficiently and accurately inputs data to Oracle and spreadsheets

Excel: create, maintain, and generate data in spreadsheets

Organization: work efficiently while maintaining accuracy

Communication: conveys questions, directions, and responds in a professional manner via email & telephone

Detail orientation: careful and accurate when dealing with employee records and data

Education: High school diploma or GED required
