DESCRIPTION:

This position will work as an integral part of the HR team primarily supporting the SVP, HR; but will also support the NY & LA Showtime HR teams.

  • Serving as point person for new hire on-boarding including background checks, processing new hire paperwork, and scheduling new hire orientation. Ensuring compliance in candidate and new hire tracking.

  • Assisting with recruiting efforts including scheduling of interviews, and drafting offer letters and required wage form.

  • Supporting firm-wide performance management process and acting as office point person for online performance review system.

  • Help coordinate the processing of employee payroll changes. Maintains employment contract files.

  • Arranging in-house meetings and conference calls, booking conference rooms, coordinating attendees, coordinating all logistics, and arranging meal service.

  • Coordinating employee programs (i.e., Flu-Shots, Health Fairs, Health Screenings, CPR Training), including logistics, catering, signs, sign in sheets, orders of supplies and ensuring appropriate materials for events are available.

  • Processing invoices, and preparing check requests and expense reports.

  • Assisting with Outlook calendars, contacts and mailing lists.

  • Making travel arrangements and creating travel packets for team members and candidates when necessary.

  • Maintaining paper & electronic files.

  • Develop/distribute easy to understand and creative internal communications and reports using word, excel, powerpoint, HRIS and other internal systems.

  • Collecting, routing, and opening incoming mail as appropriate.

  • Supporting the team with operational tasks such as Fed-ex, tech support, supplies, and office issues.

  • Providing additional administrative within the network as needed.

  • Track and file annual performance reviews.

  • Maintain dept emailbox and Voice Mail hotline.

  • Coordinate the Employee Service Award Program.

QUALIFICATIONS:

Required Education Skills and Experience

  • 1 - 3 years of HR/recruitment/training administrative support experience.

  • Bachelor’s degree in business, liberal arts, or human resources is preferred. High School Diploma or G.E.D is required.

  • Previous experience in a Human Resources office is preferred.

  • Excellent organizational and interpersonal skills.

  • Intermediate to advanced level skills using MS Word, MS Excel and Outlook; experience with applicant tracking systems. Ability to learn new systems is key.

  • Demonstrated ability to manage multiple tasks simultaneously and problem solve on the fly.

  • Ability to maintain confidential information.

  • Professional demeanor and appearance necessary at all times.
