DESCRIPTION:

We are currently recruiting an Executive Assistant based at our EMEA Headquarters in Amsterdam. We are looking for an individual with demonstrated professionalism as an executive assistant and a true desire to develop a professional and longstanding partnership with, and be a right-hand person to the various lawyers in the team with whom they work.

Applicants must enjoy working at an international legal department in a fast paced, team-oriented atmosphere within a constantly evolving industry.

Responsibilities:

  • Proofread, edit, copy, scan, file, and track a variety of legal and business documents

  • Manage highly confidential business matters and legal files

  • Upload documents and correspondence into the CBS legal document management system (Autonomy)

  • Manage calendar: Schedule conference calls and meetings. Keep team members apprised of ongoing calendar changes, action items, messages and relevant business issues, both internal and external

  • Book travel on behalf of team members and handle expense reports

  • Create, modify and format legal documents electronically including letters, memos, trip reports, itineraries, status reports, presentations (PowerPoint), spreadsheets (Excel), and other related documents (may be of a highly confidential/critical nature)

  • Screen incoming calls, correspondence, interoffice materials. Determine the priority and respond appropriately

  • Track and follow up on various action items to ensure schedules and due dates are met

  • Enhances effectiveness and efficiency of executives by providing information management support; representing the executives to others

  • Support the other legal team members (contract administrators)

About the team:

  • The team in Amsterdam consists of 4 lawyers and 2 contract administrators

QUALIFICATIONS:

Qualification(s):

  • Minimum of 3 years administrative / support / executive assistant experience working with executives within an international company

  • Technically savvy professional. Advanced skills in Word, Excel, Power Point

  • Expert level communication skills, both written, verbal and on the telephone

  • Advanced ability to exercise a degree of discretion and be comfortable dealing with a large range of internal and external high-level managers, executives, organizations and confidential data

  • Proven experience in working in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient

  • Established experience in problem solving, prioritizing and managing multiple projects simultaneously, following through, and manage issues in a timely manner

  • Team player

  • Structured mind-set and strong organizational skills

  • Takes ownership, proactive and accurate

  • Must have a valid work permit for The Netherlands (no relocation package available)

  • Fluent in English

  • Full time available, 5 days a week

  • Flexible work mentality required due to the international nature of the legal team which operates across multiple time zone
