DESCRIPTION:

The Executive Assistant performs all secretarial and administrative duties for the SVP, Labor Relations and 3 VPs, Labor Relations. From time to time they will also support the EVP, Labor Relations as needed.

Job Responsibilities:

  • Assist with all union negotiations and the drafting of proposals; must have the discipline to update, proofread and distribute numerous collective bargaining agreements, including occasional all-night negotiations.

  • Must maintain knowledge of current issues and contracts.

  • Handle a wide variety of senior decision makers and influential outsiders.

  • Answer phones and give information to callers, route calls and take messages.

  • Professional letter preparation including composing, typing and mailing.

  • Coordinate daily appointments, maintain individual and office calendars.

  • Arrange all aspects of travel schedule and prepare expense reports.

  • Assist with organizing and coordinating off-site meetings and conferences.

  • Manage shipping and receiving including distributing incoming mail.

  • Maintain filing system.

QUALIFICATIONS:

  • Self-starter and the ability to work independently.

  • Strong administrative organizational skills, ability to prioritize, attention to detail and maintenance of confidentiality.

  • Ability to work under pressure and multi-task.

  • Excellent phone skills.

  • Excellent verbal and written communication skills.

  • Ability to create, modify and maintain spreadsheets/matrices in Excel.
