DESCRIPTION:

The Administrative Coordinator will manage projects and coordinate support for general office administration, facilities and production operations, and future project development for the VP of Production & Operations.

  • General administrative duties (e.g., schedule meetings, answer phones, book travel, submit expense reports, submit facility/security requests, telecom requests, update org charts, order office supplies, distribute mail, stock kitchen, etc.)

  • Oversee department office moves, renovations, update floor plans, and work space setup while preparing detailed work orders to execute department requests (facilities, IT, Media Ops, etc.)

  • Manage office/production equipment purchasing/deployment (e.g., furniture, office equipment, peripheral computer hardware/software, etc.).

  • Assist Director of Production with administrative tasks (e.g., document management, schedules, messenger services, phone calls, etc.).

  • Strategically plan and assist in the implementation and coordination of department projects and initiatives.

  • Assist, and act as a back-up for the Director of Acquisitions.

  • Physically organize and manage department storage unit including equipment, furniture, props, etc. Facilitate asset disposal procedures, etc.

  • Update CBS Marketing Knowledge Base, and create and update training materials.

  • Purchase stock footage, music, etc. as required.

QUALIFICATIONS:

  • Bachelor's Degree and a minimum of three years’ experience as an executive assistant supporting senior level executive(s), ideally in the entertainment industry.

  • Extremely high proficiency with Windows/Apple operating systems and office related software is required. MS Excel and Word are imperative.

  • Experience managing projects and entry-level personnel a plus.

  • Must be well organized, detail oriented, able to multi-task, prioritize responsibilities, work well under pressure, have strong verbal/written communication skills, etc.

  • Must excel at building relationships. Positive attitude and the ability to be proactive, resourceful and flexible.

  • Advanced knowledge of principles and practices of office management and organization.

  • Able to make independent decisions in the handling of sensitive and confidential information while exercising good judgment and discretion.
